Every quote gets a follow-up. Every time.
Most quotes that go quiet were never followed up, or were followed up once with "just checking in." We build the follow-up into the tools your reps already use, so every open quote has an owner, a next step and a draft waiting for approval.
Sound familiar?
- Quotes sit in a rep's sent folder with no next step on the calendar.
- Nobody can say how many quotes went out last week, or how many got a second touch.
- Follow-ups depend on who remembers, so they stop when a rep is out or busy.
- The follow-up email says "just checking in" because writing a better one takes time.
Built inside the tools you already use.
An owner on every quote
Each quote is logged with an owner and a due date the moment it is sent, whether it came from the ERP, a CPQ tool or a PDF in Outlook.
Day 2 and day 5 drafts
Follow-ups are drafted from the original thread and the quote itself: the items, the lead time, the open question. The rep reads it, edits it, sends it.
A call task when email goes quiet
If two emails get no reply, the next step becomes a phone call on the rep's task list, with the quote details attached.
A close-out step
Every quote ends as won, lost or expired, with a reason, so the pipeline shows what is really open.
How the build runs.
- 01
Find your quotes
We locate where quotes are created and sent today, and connect that source to your CRM.
- 02
Set the cadence
We agree the timing, the channels and who approves what, by customer type and quote size.
- 03
Run and tune
We watch reply rates and close-out rates for the first months and adjust the drafts and timing.
Common questions.
Do the follow-ups send automatically?
Not unless you want them to. By default a rep approves each draft. Anything that touches price or terms always goes past a person.
Our quotes come out of the ERP, not the CRM. Does that work?
Yes. We read quotes where they are created, whether that is the ERP, a quoting tool or a shared mailbox, and create the follow-up task in the CRM your reps use.
How soon should a quote be followed up?
A common starting point is a first follow-up two business days after the quote goes out and a second around day five, then a call. We set the timing from your own reply data once it is tracked.
